Legal Assistant
to join us. As part of our growing remote team, you'll be working alongside experienced paralegals and attorneys dedicated to achieving the best outcomes for our clients while maintaining organized, complete, and high-quality case files.
Position Overview
The Legal Assistant will work closely with
paralegals and attorneys
to collect client documents, verify completeness and accuracy, and maintain detailed case tracking in both Google Sheets and the firm's case management system. This role is ideal for someone who is highly organized, detail-oriented, and comfortable communicating with clients in a professional, friendly manner.
Full training will be provided, but prior experience in a legal setting or with tools such as
MyCase
,
Clio
,
Google Sheets
, or
Excel
is strongly preferred.
Key Responsibilities
Client Communication & Document Collection
- Contact clients by phone, email, or portal to request and collect required documents.
- Clearly explain document requirements and assist clients with submission or upload.
- Follow up regularly to ensure timely and complete document delivery.
- Maintain professional, patient, and clear communication at all times.
Collaboration with Paralegals
- Work closely with assigned paralegals to ensure all client files are complete and properly organized.
- Provide daily updates to paralegals on the status of document collection and case progress.
- Assist in preparing complete and structured case folders for attorney review.
Document Verification & Organization
- Review received documents for completeness, accuracy, and legibility.
- Double-check materials against internal case checklists before submission.
- Upload and properly label documents within the firm's case management system (training provided).
- Maintain up-to-date digital folders for all clients and cases.
Tracking & Reporting
- Update the firm's
Google Sheets tracking system
daily with accurate document status.
- Mark case progress accurately and communicate completion updates to paralegals.
- Help identify any missing items or delays and follow up proactively.
Administrative Support
- Prepare client follow-up emails and short case summaries as needed.
- Assist in organizing templates, checklists, and workflow documentation.
- Handle other case-related administrative tasks as assigned.
Requirements
- Excellent written and spoken English.
- Strong attention to detail and ability to follow structured processes.
- Proficiency with
Google Sheets or Microsoft Excel
.
- Organized, reliable, and able to handle multiple cases simultaneously.
- Stable internet connection and a quiet workspace for calls.
- A laptop/desktop, preferably Windows.
- Availability to work
full-time during Eastern Standard Time (EST)
hours.
Preferred Qualifications
- Prior experience as a legal assistant, administrative assistant, or working in a U.S.-based law firm.
- Familiarity with case management systems (MyCase, Clio, or similar).
- Experience handling sensitive or confidential client information.
- Ability to work independently while maintaining communication with the team.
