Summary of Functions
The Inventory Controller ensures the inventories are accurately matched and/or reconciles stock counts to report data (Actual vs. Stock Card Vs. System).
Functions:
- Oversees and tracks accuracy of the inventory flow (1) incoming, (2) returns: the bad stocks (expired, damaged, spoilage) and the good stocks (3) disposal (4) cycle counts.
- Reviews the inventory in the system in terms of the conversion, packing, unit of measurement, double entry of items, and documentation of adjustments.
- Creates the letter on inventory adjustment for variances in the actual vs. stock card vs. system, then troubleshoots quantity discrepancies.
- Ensures the real time updating of entry of inventories in the system.
- Generates an inventory report daily/weekly, and monthly for financial inventory reports.
- Investigates and corrects inventory discrepancies.
- Monitors the movement of inventory.
- Counter checks assembly order before posting the inventories in the system from suppliers, returns and repacked items.
- Checks weekly the physical inventory to the stock card and to the system.
Knowledge and Skill Requirements:
- A graduate of Business or any related course
- With or without experience
- Proficient in Microsoft Excel and Word
- Good organizational, mathematical, analytical and planning skills
- Knowledge/Experience in ERP System is an advantage.

I. JOB SUMMARY:
The inventory controller places a huge role in warehousing operations. This role encompasses various responsibilities, including keeps track of the supplies that are ordered and in stock. Maintains and monitors on reorder points and takes steps to restock. Reconciles inventory discrepancies, and alerts supervisors to any anomalies.
II. REPORTING RELATIONSHIP:
- The Inventory Controller directly reports to Operations Associate and President.
- The Inventory Controller may coordinate to the assigned CSRs/Logistics Coordinator/Admin and Third Party employees/Supervisor.
III. KEY RESPONSIBILITIES:
Inventory Inspection Accuracy
- Conduct regular inspections of incoming and outgoing documentation versus actual stocks to verify accuracy against documentation.
- Ensure proper labeling, packaging, and documentation of all warehouse items.
- Identify and report discrepancies or damages promptly to the relevant assigned personnel.
- Spot checking of documentation against actual
Perform physical count of Inventory
- Conduct monthly cycle count in warehouses
- Assist in preparing for audits
Update Record of Inventory
- Create monitoring inventory report and verify the system count record.
- To account all inventorable items in the warehouses
Addressing Inventory Discrepancy
- Adjusting inventory records to match the actual quantities of items in inventory, investigating and addressing the root causes of the discrepancies, such as human errors, theft, fraud, or damage.
Maintaining Accurate Record
- Forecasting supply and demand requirements to ensure stock availability.
- Regularly checking of Inbound and Outbound reports
- Stock Adjustment Report
Checking stock level Regularly
- Performing regular stock checks and reporting any issues to the supervisor.
- Check date-sensitive products for expiration and facilitate removal or transfer of product as needed
Storage Level
Continuous Improvement:
- Identify opportunities for process improvement and efficiency gains.
- Collaborate with management to implement changes and enhancements to warehouse operations.
- Actively participate in regular team meetings to share insights and suggestions for improvement.

IV. MINIMUM QUALIFICATIONS:

- Has good communication skills both written and oral
- Can converse and communicate well
- Has high technical computer skills and knowledge with any Warehouse Inventory system
