BASIC FUNCTION

The
Logistics Coordinator
is responsible for overseeing and coordinating day-to-day logistics activities to ensure timely and accurate deliveries. The role manages inventory, plans delivery routes, processes invoicing, and supervises stock transfers, while providing support to the delivery team, stores, and sales. This position plays a key role in maintaining efficient logistics operations within the hub.

DUTIES AND RESPONSIBILITIES

  • Coordinate with the delivery team, stores, and sales to ensure smooth logistics flow.
  • Monitor, update, and manage inventory to prevent shortages or discrepancies.
  • Plan and assign delivery routes for efficiency and timeliness.
  • Prepare, process, and review invoices for accuracy.

QUALIFICATION GUIDES

  • Strong organizational, planning, and time management skills.
  • Proficient in Microsoft Office applications (Excel, Word, Outlook).

Job Objective:

To ensure delivery in full and on time; all goods movement required to / from trade is executed according to standards covering merchandise delivery and pull out, BO pull out, POP delivery and pull out.

Duties & Responsibilities:

  • Handles and monitors document release to truckers during dispatch which includes sales invoices, delivery notes, proposal for credit memo's, POP contracts, invoice cover sheets and others.
  • Ensures that the corresponding withdrawal documents such as sales orders are aptly provided with corresponding delivery documents such as sales invoices. All delivery and pull out documents are included in the delivery trip report (DTR) for acknowledgement of the trucker.
  • Manages the real-time delivery monitor for trade deliveries. This covers drop by drop status report from truckers which infuses real-time intervention with exceptions encountered at field. Trouble shooting includes close coordination with concerned units including but not limited to : Customer Service, Sales, Marketing & Logistics.
  • Responsible for regulating liquidation protocols of documents endorsed to truckers. Retrieval of the proof of deliveries (POD) and/or pull-outs are strictly monitored to follow the 24 hour liquidation policy. Validation of waybills and DTR's is administered – only complete and clean liquidations are accepted and released to truckers. Deviations are recorded and followed through. Corresponding sanctions or penalties are recommended basis policy on late liquidation.
  • Performs data gathering and generation of various distribution reports including but not limited to : truck assignment report, discrepancy advice slip summary, delivery exception report, distribution efficiency report, etc.
  • Checks submitted billings / statement of accounts from truckers : validated waybills, DTR's and used rates are further verified together with summary matrix of the statement of account prior submission to accounting for check preparation.
