Job Description
- Prepare Departmental correspondence, documents, reports, presentations;
- Schedule and coordinate meetings and appointments;
- Draw up and distribute minutes of meetings;
- Prepare contracts, reports, memos, letters, financial/billing statements and other documents using word processing, spreadsheet, database, or presentation software;
- Monitor and ensure that all pending actions assigned to the IT Department which is logged in a ticketing system are closed;
- Support (coordination and procurement) and maintain a neat inventory of all mobile and TELCO devices issued by the company to its employees;
- Review and Reconciliation of Monthly bills for internet, landline, and mobile phones to identify personal charges;
- 5S coordinator of IT Department; and
- other administrative tasks needed by the IT Department.

**Before Shift**
- To check endorsement from the previous shift on the logbook.
- To ensure up and running status (24/7) on all Software, Hardware systems of the hotel.
- To execute scheduled maintenance of all software, hardware and systems of the hotel.
- To provide assistance to employees and guest in any technical concerns.
- To secure the below systems and equipment are up and running 24/7.
**Responsible**

- To ensure adequate speed of the guest WiFi by performing Speed test.
- To ensure TV ads on all kiosk are updated and working.
**During Shift**
- To ensure that the Local Area Network is working, and all workstations are connected to the network domain.
- To ensure that all **routers** and **switches** are working; perform maintenance when needed.
- To ensure all workstation antivirus and device drivers are up to date.
- To ensure that internet connection is up 24/7 for both employees and guests; perform maintenance and troubleshooting tasks when needed.
- To Maintain Active Directory; create/modify user access and restrictions to shared files and folders.
- To Ensure that Corporate Firewall is running and monitor network activities of employees. Perform maintenance if necessary.
- To maintain all access points are working.
- To maintain the day-to-day operation of the different systems used in the Hotel.
**Hotel Management System**
- Responsible for the back-end operation of the system and perform configuration of different modules as deemed necessary following a standard step-by-step procedure.
- To Ensure smooth operation of all modules and perform maintenance tasks when needed.
**Back-Office System**
- Create/modify users and their respective access restriction to the system.
- To Ensure smooth operation of all modules and perform maintenance tasks when needed.
**Restaurant POS System**
- Provide support to users of the POS system front and back end.
**Keylock System**
- To Ensure smooth operation of the system and perform maintenance tasks when needed.
- Perform reprogramming of locksets and keycards when necessary
**Call Accounting System**
- To Ensure 24/7 interface operation and communication between the Hotel PABX and the Hotel Management System.
- To Perform maintenance to database and create reports when requested.
**HRIS System**
- Create/modify users and their respective access restriction to the system
- To Ensure proper operation of the HRIS system.
- To Guarantee the upkeep and maintenance of printing, scanning, and communication equipment’s:
**Printer/Scanner Maintenance**
- To Ensure that printers used by employees are in good running condition, monitor ink levels and cartridge; replace/refill ink on scheduled basis and if needed; perform simple troubleshooting when needed.
- To monitor printer on weekly basis of its print counts to determine utilization of printer on every department.
- To Request for maintenance/replacement of consumables when needed.
- To Create/modify user access for the network printer; perform maintenance tasks and report monitoring when needed.
- To Ensure that scanners are in good condition
**PABX**
- Perform back-end (software-side) configuration of the PABX
**To Provide IT support to Employees and Guest**
- Guest support
- To assist Guests in connecting to the Internet using the Hotel WiFi
- Employee Support
- To Assist Employees in IT related concern.
- To create design and graphics for marketing and collateral purposes
- To conduct scheduled preventive maintenance on workstation, servers and network.
- To conduct month inventory and status of hardware’s and software’s of the hotel.
- To carry out 5's programs on server room and mis office.
**After Shift**
- To report current status on servers, workstation, networks to MIS Supervisor.
- To provide daily accomplishment reports to MIS Supervisor
- To document work done and pending on the logbook.
- To fulfill Staff responsibilities as required or given task.
- To perform other related duties that may be assigned from time to time.
