**The primary purpose of this position is**:
- Monitor IRD Correspondence and forward to clients as required.
- Ensure clients’ provisional and terminal tax payments are received by the clients in time so clients can pay IRD.
- Xero Administration - assist with new Xero subscription setup.
- New Client setup - assist with new client setup.
**Key Tasks**:
**Tax Administration**
- Update tax system and client tax details as appropriate - including GST registrations or balance date changes.
- Review tax system daily for returns not matching and resolve or escalate immediately.
- Checking Assessments and IRD letters and notifications daily Losses carried forward.
- Provisional and terminal tax payments - check, make changes as required and sent to clients including on-line text alerts. This will include voluntary tax as advised by client managers.
- Complete tax estimations.
- Keep up to date with IRD requirements, releases and deadlines and advise accounting team of changes if necessary.
- Liaise with IRD as necessary.
- Save documents from IRD to client folder and year.
**Xero Administration**
- Setup, update or resolve transfers of Xero subscriptions as required.
**New Clients**
- Send engagement packs to new clients.
- Liaise with previous accountant to receive clients papers.
- Complete AML for all.
**Companies Office**
- Complete company changes via CAS360.
- Company formation and setup.
- File annual company returns.
- Share transfers & Minutes for same.
- Maintain registers
- Update details and Companies Office Directors / Shareholders and minutes for same.
- General company administration as and when required.
- Scanning and filing documents.
**General Admin**
- Ad hoc duties & general administration tasks.
**Accounts Receivable**
- Liaise with external Debt Collection team (SmartAR).
- Complete direct debits for clients.
- FeeSmart - complete quotes and loan documentation as required.
- Bad debts written off - load to secondary record and continue sending out monthly statements.
**Annual Accounting Work**
- Run reports for annual questionnaires and annual letters for year end.
- Prepare Agreed Fees for clients and job budgets.
- Setup workpaper packs and send annual questionnaires to clients.
- Log in AA jobs when records received including scanning signed compilation agreements & agreed fees.
- Finalization process for annual accounts including letters, binding, scanning, invoicing and sending to clients, as well as organizing follow up appointments as instructed.
- Follow up clients to return signed reports and returns.
- Return original documents to clients.
