Our client is a growing 3PL specializing in Warehousing/fulfillment, brokered freight, and international shipping. We work with business customers to manage their warehousing and transportation needs efficiently.
The Role
This is an admin-heavy role that also involves working with business customers. The Warehouse Customer Service Representative (CSR) acts as the link between customers, the warehouse service provider team, and carriers, ensuring smooth communication, accurate data management, and efficient operations. This position is designed to grow into a managerial role, with increasing responsibilities over warehouse customer service operations.
Key Responsibilities
Order & Inventory Management
- Enter and manage orders in Extensiv WMS (formerly 3PL Central).
- Process order charges and ensure accurate billing.
- Track and update inventory levels, ensuring data accuracy.
- Assist with inventory reconciliations to resolve discrepancies.
- Enter new item data into WMS, ensuring accuracy in SKUs, descriptions, and storage details.
- Input new inbound ASNs into the warehouse system and verify correctness.
- Troubleshoot errors in customer ASN submissions, ensuring smooth inbound processing.
- Manage and maintain 4PL relationships, ensuring smooth data flow between partners.
Customer Coordination & Training
- Onboard new customers, using templates for item data setup in WMS.
- Conduct WMS and TMS portal training with new customers to ensure they can manage their shipments effectively.
- Provide shipment tracking updates and proactive communication to customers.
- Act as the primary contact for business customers regarding order status, shipment details, and issue resolution.
- Notify customers of any inventory issues, delays, or discrepancies.
- Work closely with warehouse staff to ensure timely order fulfillment.
Freight & Quoting Support
- Coordinate inbound and outbound shipments.
- Schedule freight pickups and deliveries, ensuring compliance with carrier requirements.
- Use Rose Rocket TMS to manage freight movements and documentation.
- Provide courier quotes and freight quotes to customers.
- Perform cost analysis for new customers to help them understand their logistics costs with the client
General Admin, Data Entry & Reporting
- Attend the Daily Operational Alignment Meeting (DOAS) and enter daily performance numbers.
- Enter and maintain customer and shipment data with a high level of accuracy.
- Keep records organized and ensure compliance with industry standards.
- Generate reports on order volumes, inventory levels, and service metrics.
- Assist with billing and invoicing related to storage, fulfillment, and 4PL services.
Training & Future Development
- Assist in designing training programs for future remote CSR workers as the company expands.
Qualifications & Experience
- Experience: At least 2 years in warehousing or freight. 3PL experience is preferred.
- Tech Skills: Experience with Extensiv WMS (3PL Central) and Rose Rocket TMS preferred.
- Industry Knowledge: Strong understanding of either freight or warehousing operations.
- Excel Proficiency: Must have adequate MS Excel skills (e.g., data entry, basic formulas, sorting/filtering data).
- Communication: Strong written and verbal communication skills.
- Problem-Solving: Ability to troubleshoot ASN errors, order issues, and inventory discrepancies.

What will the Project Manager do at Hogarth?
The Print & Distribution (P&D) team manage the production and distribution of printed merchandising materials for new store openings and new product launches across Hogarth's Client's Partner Stores.
Responsibilities:
- Be a key part of Print & Distribution campaigns from client brief through to delivery completion
- Responsible for allocating correct merchandising materials to stores at an individual level based on the client's strategy
- Maintain a database of client stores and individual allocations, used for validating merchandising orders for each campaign
- Review the dispatch schedule planning at an individual country level based off of product availability dates, historical transit times and vendor capacity / resource
- Track vendor spend against budget by ensuring 100% accuracy of finance trackers, recording vendor quotes and flagging to P&D team lead when actual spend is close to budget
- Build a hindsight report after every campaign, outlining elements that worked well / didn't work so well and areas for improvement across vendor, client and internal processes
