We are seeking a high-level, lavel detail-oriented, and reliable Overseas Assistant to support company operations and franchisee locations. This role will focus on vendor account management, franchisee onboarding, order tracking, communication support, and back-office administrative tasks. The ideal candidate will have strong organizational skills, excellent communication abilities, and the ability to manage multiple responsibilities across vendors, e-commerce, and franchise support.
Key Responsibilities:
Vendor & Account Management
- Open and maintain vendor accounts with primary suppliers (Coaster, Ashley, and others as directed).
- Submit and follow up on vendor documentation, credit requests, warranty claims, and product reorders.
- Request vendor reports and update internal systems with current pricing and product assortment.
- Reconcile billing discrepancies and resolve vendor invoicing issues.
Franchisee & Onboarding Support
- Manage orders for franchise start-up packages, including tracking delivery dates and ensuring completion.
- Prepare and update franchisee inventory pricing sheets for consistent and accurate pricing information.
- Track and update all franchisee deliveries, communicating status changes as needed.
- Provide ongoing assistance to franchisees with warranty submissions, credits, and replacement orders.
Internal Processes & Software Management
- Update AAG (At- A- Glance) with current vendor product information.
- Monitor e-commerce assortment to ensure correct pricing, descriptions, and vendor alignment.
- Enter updates into Sofi software, ensuring data accuracy across franchises and internal teams.
- Coordinate with Jade on billing reconciliations and expense tracking.
Communications & Administrative Support
- Create and distribute franchisee "Tips and Tricks" emails to improve operations and engagement.
- Maintain accurate and organized records of vendor communication, claims, and pricing sheets.
- Prepare simple reporting summaries for leadership, including vendor spend tracking or franchise support updates.
- Proactively identify opportunities to streamline processes and suggest operational improvements.

The Account Manager – B2B Sourcing is the "farmer" responsible for managing and expanding relationships with suppliers of used boxes and gaylords to ensure consistent, high-quality inventory that meets the needs of our customer base. This role begins once a supplier has been converted by a Sales Executive and focuses on maximizing recurring supply, improving load quality, and optimizing the profitability and consistency of inbound inventory. This is a relationship-driven, detail-oriented role that supports our supply engine.
Key Responsibilities:
- Supplier Relationship Management: Serve as the primary contact for assigned suppliers. Build trust and rapport through consistent communication and service.
- Inventory Retention & Growth: Ensure continuity of recurring loads from suppliers and identify opportunities to grow volume or onboard additional SKUs.
- Load Quality Monitoring: Partner with the Fulfillment team to review quality feedback and address supplier-side issues proactively.
- Churn Prevention: Monitor supplier engagement and proactively intervene when volume drops, communication lapses, or friction arises.

The Qualifications We Seek
Required:

Part-Time junior Vendor Relations & Negotiation Specialist - Work from Home (U.S. Company)
We're GuildSteam, a US (Tennessee)-based company that connects global talent with US companies and we are seeking an experienced professional Vendor Relations & Negotiation Specialist (1+ years experience) to join our client's team. This is a part-time remote role.
Working Hours (Remote):
4 Hours between 11:00 PM - 7:00 AM Philippine Time (PHT) - flexible.
(Matching 9:00 AM - 5:00 PM Mountain Time - US)
Starting Pay:
PHP 5,100 per week
Part-time - 20 hours per week

Key responsibilities:
- Negotiate pricing and terms with existing and new vendors to improve margins and overall cost structure.
- Analyze vendor quotes and identify opportunities for cost savings or better value.
- Develop and maintain strong, professional relationships with suppliers to ensure mutual benefit and long-term collaboration.
- Monitor vendor performance quality, pricing consistency, lead times and provide feedback or corrective action as needed.
- Benchmark vendor pricing against competitors and industry standards.
- Work closely with internal teams to understand material, part, or service needs before engaging vendors.
- Maintain clear documentation of all communications, quotes, and pricing agreements.
- Suggest opportunities for vendors to provide added services or better terms (e.g., faster turnaround, lower minimums, bulk discounts)
Requirements:
- Proven experience in vendor negotiation, procurement, or supply chain management (1 + years ).
- Excellent spoken and written English for direct communication with vendors (phone, email, meetings).
- Strong analytical and research skills for comparing pricing, quality, and terms.
- Confident and persuasive communication style while maintaining professionalism.
- High attention to detail and organization in tracking vendor agreements and follow-ups.
- Proactive, resourceful, and capable of identifying new vendor opportunities
- Reliable internet, functional computer and quiet work environment.
- Experience in manufacturing, fabrication, or materials procurement (especially sheet goods, hardware, CNC supplies or auto parts).
- Background in supply chain optimization or vendor consolidation initiatives.
