We are seeking a high-level, lavel detail-oriented, and reliable Overseas Assistant to support company operations and franchisee locations. This role will focus on vendor account management, franchisee onboarding, order tracking, communication support, and back-office administrative tasks. Key Responsibilities:
Vendor & Account Management
- Open and maintain vendor accounts with primary suppliers (Coaster, Ashley, and others as directed).
- Submit and follow up on vendor documentation, credit requests, warranty claims, and product reorders.
- Request vendor reports and update internal systems with current pricing and product assortment.
- Reconcile billing discrepancies and resolve vendor invoicing issues.
Franchisee & Onboarding Support
- Manage orders for franchise start-up packages, including tracking delivery dates and ensuring completion.
- Prepare and update franchisee inventory pricing sheets for consistent and accurate pricing information.
- Track and update all franchisee deliveries, communicating status changes as needed.
- Provide ongoing assistance to franchisees with warranty submissions, credits, and replacement orders.
Internal Processes & Software Management
- Update AAG (At- A- Glance) with current vendor product information.
- Monitor e-commerce assortment to ensure correct pricing, descriptions, and vendor alignment.
- Enter updates into Sofi software, ensuring data accuracy across franchises and internal teams.
- Coordinate with Jade on billing reconciliations and expense tracking.
Communications & Administrative Support
- Create and distribute franchisee "Tips and Tricks" emails to improve operations and engagement.
- Maintain accurate and organized records of vendor communication, claims, and pricing sheets.
- Prepare simple reporting summaries for leadership, including vendor spend tracking or franchise support updates.
- Proactively identify opportunities to streamline processes and suggest operational improvements.

This role begins once a supplier has been converted by a Sales Executive and focuses on maximizing recurring supply, improving load quality, and optimizing the profitability and consistency of inbound inventory. This is a relationship-driven, detail-oriented role that supports our supply engine.
Key Responsibilities:
- Supplier Relationship Management: Serve as the primary contact for assigned suppliers. Build trust and rapport through consistent communication and service.
- Inventory Retention & Growth: Ensure continuity of recurring loads from suppliers and identify opportunities to grow volume or onboard additional SKUs.

The Qualifications We Seek
Required:
- Bachelor's degree in Business, Finance, Supply Chain, or related discipline.
- 1-3 years of experience in vendor management, accounts payable, procurement, or related operations.
- Familiarity with vendor onboarding processes, fraud prevention controls, and compliance requirements.
- Strong Excel and ERP platform experience (e.g., Workday, Oracle, SAP).
Preferred:
