The Role (Job Description or Position Summary):

Provide oversight for one or more Software (SW) Asset Management processes. Provide expertise in one or more top-tier vendors and products, i.e., Microsoft, IBM, Oracle, Salesforce ServiceNow, etc. Focus on managing SW assets, specifically information technology type resources or capabilities that contribute to the delivery of a service, examples are the following: Software, Software License, License Key, Software Contracts, and other Critical Documentation, etc.

Accountable to the organization for stewardship of SW assets deemed as having financial value. Ensure that SW assets required to deliver services are properly controlled, and that accurate and reliable information about those SW assets is available when and where it is needed.

o   Create and maintain accurate inventories and perform regular reconciliations (License Balance Sheets) of (a) what is owned against (b) what is installed against (c) what is recorded in asset management system (AMS). Ensure that up to date (and historical) records are managed through the collection of key attributes such as name, status, version, ownership, cost, entitlements, contracts, depreciation, location, product type, and CI to CI relationships. Ensure changes to assets (under management) are done so based on formal approvals in accordance with the Change Management and/or other authoritative processes. Specific to Service Asset (software).

o   Execute on the negotiation, processing, and facilitation of approvals for software/hardware asset renewals and subscriptions.

o   Ensure that there is proper management of budget, and financial approval for new software and renewals are obtained.

o   Collaborating with AT Global Procurement Teams and the ATA Sourcing Team, ensure that software purchasing arrangements/contracts are negotiated and structured to minimize cost while ensuring control. Legal and financial risk exposure is properly observed and mitigated where appropriate (re: terms and conditions, use without license, proof of license, etc.). Ensure reliable financial information (from procurement to disposal) is available where and when it is needed.

o   Execute on Global Contract requests including but not limited to assessing and collecting ATA/Passthrough OE demand for Global Software Contracts

o   Monitor all relevant Administrative Tools (i.e., Email, SharePoint, Service Management tool, excel) daily and execute day-to-day duties as defined by process; and manage process-related issues as they arise. Perform verifications & audits. Provide status accounting reports.

o   Administer the Service Asset and Configuration Management "control" process.

o   If required, perform duties in the following areas: Instruction (training), directing, and checking the work of others; managing vendor partners; advising Senior Management on improvements to strategies and techniques; manage projects where appropriate; train staff on processes and procedures; and facilitate external or internal audit requests as needed.

Experience and Education (Requirements):

The Software Asset Management Analyst is a pivotal role responsible for optimizing and managing software assets for Elsevier. Responsibilities

  • Ensure meticulous documentation of all software purchase requests and that completed entitlement-related records are efficiently conveyed to the SAM Entitlements team.

  • Proactively manage the FreshService ticketing systems, updating status changes and pertinent information, and ensuring prompt and accurate responses to software requests.
  • Collaborate with internal stakeholders to understand and meet software needs and liaise with end users to collect necessary information for software procurement and allocation.
  • Interact with various software vendors to obtain and analyze quotes, ensuring cost-effectiveness and compatibility, and maintaining professional relationships to facilitate efficient procurement processes.
  • Generate purchase requisitions for the SAM and technology sourcing, ensuring all requirements are accurately captured and documented in the Oracle financial system.
  • Expertly use the Oracle financial system to generate purchase requisitions for approved software requests.
  • Manage software expiration notifications within the ELSSAM mailbox, offering timely guidance to end users on subscription renewals.
  • Work with the team to resolve general queries related to account or software issues, including payment inquiries managed by internal accounts teams.
  • Perform additional duties as assigned, contributing to a flexible and comprehensive approach to SAM within Elsevier.

The SAP Software License Management Analyst is responsible for managing and optimizing SAP software licenses to ensure compliance with licensing agreements, minimize costs, and support strategic procurement decisions. This role involves working closely with IT, procurement, legal, and SAP representatives to maintain accurate licensing records and implement best practices.

Responsibilities for this position may include but are not limited to:

License Management

  • Oversee the full lifecycle of SAP licenses—from procurement to renewal and retirement.
  • Maintain accurate records of software licenses and usage.
  • Monitor SAP user accounts and authorizations to ensure compliance, e.g. consumption with entitlements in "on-prem" and subscription
  • Responsible for managing the SAP "on-prem" and RISE subscription product inventory, entitlements
  • Must understand the product SKU and associated metric in "on-prem" and RISE
  • Ability to develop fluency in vendor contracts and clauses
  • Able to translate SKU to deployed functionality in ECC/S4 instances

Compliance & Optimization

  • Ensure adherence to SAP licensing terms and conditions.
  • Address vendor audit requests and ensures adherence with entitlement
  • Forecast planned consumption of entitlements and cost projections.
  • Identify opportunities to reduce licensing costs through consolidation or renegotiation.
  • Perform periodic internal control tasks related to Software Licensing in accordance with the Software Asset Lifecycle Cyber Policy.

Analysis & Reporting

  • Analyze software usage data to detect over-licensing or under-utilization.
  • Prepare reports on licensing status, compliance, and cost savings for management.
  • Use tools like SAP reporting, SQL, SAM Pro and Excel for data analysis.

Collaboration & Advisory

  • Work with IT, procurement, and legal teams to address licensing-related matters.
  • Provide expert guidance on SAP licensing models and strategic purchasing.
  • Stay updated on SAP licensing policies and cloud licensing models.

Qualifications:

  • Bachelor's degree in Computer Science, Engineering, or a related field
  • 4 to 7 years of relevant work experience in SAP license management or software asset management
  • Understanding of SAP licensing models (user-based, processor-based, engine-based)
  • Familiarity with SAP modules (FI/CO, MM, SD, PP)
  • Knowledge of SAP GRC and basic ABAP is a plus
  • Excellent communication and stakeholder management skills
  • This individual must have critical thinking, due diligence, and business acumen

Preferred Qualifications:

  • Experience with cloud-based SAP environments
  • Understanding of contract law and intellectual property rights
  • Project management skills for license optimization initiatives
