The Role

The Recruitment Onboarding Coordinator plays a key role in ensuring a smooth transition from candidate acceptance to their successful onboarding. We are seeking a dynamic Recruiting Operations Coordinator to join our team in a versatile role that combines talent acquisition, employee onboarding, and executive support responsibilities. This position is perfect for a detail-oriented professional who thrives in a fast-paced environment and enjoys wearing multiple hats to support our growing organization.

Responsibilities
Talent Acquisition & Recruiting:
In this full lifecycle recruiting role, you'll lead recruiting efforts for entry- mid level positions across the US, Mexico, and the Philippines. This role will be instrumental in identifying, attracting, and securing exceptional talent that will drive our company's growth.

  • Source, screen, and evaluate candidates across multiple regions (US, Mexico, and the Philippines) using various recruiting channels
  • Partner with hiring managers to understand the position requirements and ensure alignment with their core competencies and skill sets
  • Manage the full recruiting lifecycle from initial outreach to offer negotiation
  • Build and maintain talent pipelines for both immediate and future needs
  • Assist with recruitment efforts for other business functions as needed, based on hiring volume and business needs
  • Track recruitment metrics and provide regular reports and updates on hiring progress via ATS (Workable) and other hiring trackers (Slack and Google Sheets)
  • Ensure a positive candidate experience throughout the hiring process

New Hire Onboarding:

  • Coordinate pre-boarding activities, including new hire onboarding prep emails, scheduling company meet & greets, coordinating laptop delivery, and anything else that's part of our onboarding process
  • Facilitate new hire orientations and first-day experiences
  • Ensure completion of all required paperwork, background checks, and compliance documentation Create and maintain onboarding checklists, welcome packets, and training schedules
  • Partner with IT, HR, and department managers to ensure smooth new hire integration
  • Track onboarding metrics and continuously improve the new hire experience

Executive & Administrative Support:

  • Manage executive calendar scheduling and coordinate complex meetings across multiple time zones
  • Support special projects and initiatives as assigned by leadership
  • Maintain confidential employee information with the highest level of discretion

Requirements

  • 5+ years of recruiting experience for a US-based B2B SaaS company
  • Demonstrated success in recruiting across international markets, particularly in the US, Mexico, and the Philippines
  • Experience with applicant tracking systems and recruitment tools (LinkedIn Recruiter, Workable, Gusto, etc)
  • Strong sourcing skills and knowledge of various candidate attraction methods
  • Problem-solving mindset with the ability to adapt recruitment approaches to different markets
  • Proven ability to recruit top-tier talent
  • Excellent communication skills
  • Very effective in a remote-work environment
  • Preferred: Previous experience in a blended TA/Executive Admin role

Position Description
We are seeking a highly organized and proactiveindividual to join our Global Talent Attraction and Acquisition team. Based in Manila, you will play a key role in supporting recruitment operations across the APAC region, ensuring a smooth and efficient hiring process for both candidates and internal stakeholders.

  • Candidate Communication: Coordinate candidate outreach, interview scheduling, and follow-ups to ensure a seamless and positive candidate experience.
  • ATS Administration: Maintain accurate and up-to-date records in the Applicant Tracking System (ATS), ensuring compliance and consistency across all supported markets.
  • Data & Analytics: Generate and analyze recruitment data to support reporting, insights in your area of responsibility, drive continuous improvement.
  • Interview Coordination: Manage interview logistics for complex panel interviews across multiple time zones, working closely with hiring managers and candidates.
  • Candidate Sourcing & Pooling: Assist HR Staff in identifying and engaging top talent through proactive sourcing, talent pooling, and market mapping.
  • Pipeline Building: Support the development and maintenance of candidate pipelines for key and recurring roles.

Position Requirements

  • Experience in recruitment coordination or talent acquisition support, especially with active sourcing and outreach in general.
  • Bachelor's Degree holder or similar qualification.
  • Familiarity with ATS platforms (ideally Workday) and sourcing tools (e.g. LinkedIn).
  • Strong communication and organizational skills with both internal and external stakeholders.
  • Ability to work independently and manage multiple priorities across time zones.
  • Analytical mindset with attention to detail and data accuracy.
