This position is part of our consultancy management services team that supports COVA's projects across Singapore and Indonesia. The role is crucial in ensuring the efficient and accurate project administration.
Key Responsibilities:
1. Project Coordination & Communication
Assist the Project/Construction Manager in coordinating daily site activities and workflow among contractors, consultants, and subcontractors.
Serve as the point-of-contact for site-related queries and clarifications.
Facilitate and document coordination meetings, technical discussions, and site briefings.
2. Site Supervision & Monitoring
Monitor work progress and ensure compliance with project timelines, specifications, and safety standards.
Identify site issues or delays early and escalate to relevant parties.
Support the site team in resolving on-site coordination and interface issues.
3. Documentation & Reporting
Maintain and update project records, including drawings, permits, RFIs, technical submittals, and minutes of meetings.
Prepare regular progress reports, tracking key milestones and highlighting delays or risks.
Assist with compiling documentation for inspections, audits, and handovers.
4. Contract Administration Support
Assist in reviewing and managing contractor submissions, including method statements, shop drawings, and material approvals.
Assist QS teams for measurement verification and claim substantiation.
5. Quality & Compliance
Support the implementation and maintenance of the company's Integrated Management System (IMS) on site.
Support quality inspections and testing with consultants or client representatives.
Track and close out non-conformances or defects raised during inspections.
Assist in identifying and mitigating risks in accordance with risk management protocols.
Support the implementation and maintenance of the company's Integrated Management System (IMS) on site.
6. Health, Safety & Environmental (HSE) Oversight
Apply WHS policies and procedures in line with company and statutory requirements.
Assist in the preparation and coordination of risk assessments and safe work procedures.
Monitor implementation of site-specific safety plans and report unsafe practices.
7. Client & Stakeholder Liaison
Support client and stakeholder walkthroughs and site visits.
Help address client concerns by coordinating with the construction and design teams.
Ensure client expectations are aligned with actual site conditions and progress.
Qualifications:
Bachelor's degree in Project Management or Engineering
Minimum 5 years experience in construction industry
Strong Microsoft Office and Microsoft Project skills.
Excellent writing and strong communication skills with attention to detail and organisational skills
Ability to manage multiple tasks to meet deadlines in a fast-paced environment and to work effectively in a team environment.
