Duties and responsibilities:
- Create shipment folder and documents as basis for initial/draft encoding of manifest on VASP; ensures documents received are complete; alerts counterpart or superior if documents are missing or needs revision.
- Reviews and checks printed draft manifest against original documents/Soft Copies; confers with Operations counterpart for checking and proofreading of details to avoid errors. Ensure accuracy and avoid penalties due to erroneous details.
- Monitors arrival of shipments, shipment date and time of arrival, berthing time, other relevant details to ensure that manifest is submitted on time and avoid penalty.
- Prepares Booking Confirmation, Manifest, Delivery Orders, Bill of Lading and Container Guarantee free from errors.
- Must comply with company policy and rules on compliance with manifest submission and attendant penalties.
- Endorses all files, shipment information, draft manifest, finalized manifest, codes, and passwords to the operations supervisor/manager, including peculiar and specific orders to avoid errors and late and/or no submission if absent, tardy, or on leave.
- Sending of Arrival Details and Freight Invoice to client prior to arrival.
- Tracking and reporting on both inbound and outbound shipments.
- Prepares and submits periodic reports and requirements to CAB and FTEB.
- Facilitate container refunds from shipping lines.

- Monitor inventory movement, storage, and reporting by 3PL partners.
- Conduct regular reconciliation between the system inventory (ERP/WMS) and the physical count.
