The Tenant Relations Officer is the primary point of contact for tenants regarding lease agreements, rental payments, and customer service concerns. Key Responsibilities

  1. Tenant Communications & Support

  2. Act as the first line of communication for tenants regarding lease terms, payments, renewals, and general concerns.

  3. Maintain professional, courteous relationships with all tenants.
  4. Address complaints and coordinate resolution with relevant departments (Building Supervisor, Accounting, Contractors).

  5. Leasing & Occupancy

  7. Handle tenant onboarding: prepare contracts, welcome orientation, and move-in documentation.
  8. Manage renewals, rent escalations, and notice-to-vacate processes.

  9. Rental Payments & Collections

  10. Send monthly billing reminders and follow up on overdue accounts.

  11. Coordinate with Accounting Officer on rental ledgers and collections status.
  12. Escalate chronic delinquencies to the Property Manager for legal or enforcement action.

  13. Records & Documentation

  14. Maintain updated tenant records, contracts, and correspondence.

  15. Track lease expiry dates and proactively initiate renewal discussions.
  16. Prepare reports on occupancy, collections, and tenant feedback.

  17. Customer Service & Retention

  18. Implement tenant satisfaction programs (feedback surveys, newsletters, updates).

  19. Organize small tenant engagement activities (if applicable, for office properties).
  20. Recommend improvements to enhance tenant experience and reduce turnover.

Qualifications

  • 2–4 years of experience in property management, leasing, or customer service.
  • Strong communication and negotiation skills.
  • Organized and detail-oriented, with good documentation habits.
  • Basic knowledge of rental contracts and collections processes.
  • Proficient in MS Office / property management software.

Key Performance Indicators (KPIs)

  • Occupancy rate and renewal ratio.
  • Timeliness of rent collections (aging of receivables).

  • Carries out administrative duties such as filing of contract and resident information sheet, and updating of 201 folder and masterlist.

  • Endorse payments to Admin Assistant for preparation of Official Receipt/Acknowledgement/Provisional Receipt
  • Performs audit on document-compliance to ensure adherence to standards set forth by the Property Management.
  • Accepts and routes all communications and documents of the Property Management Office (PMO) to the internal department.

  • Sends e-mail regarding circulars and memos to the unit owners/respective company representatives.

  • Performs other duties that may be assigned as the need arises.
