Facilities Management

Qualifications
  • Bachelor's degree in Engineering, Facilities Management, Industrial Safety, or related field.
  • At least 3–5 years of experience in facilities management, preferably in a plant or industrial environment.
  • Accredited Safety Officer (SO2/SO3) certification under DOLE (preferred).
  • Strong knowledge of building systems, utilities, and preventive maintenance.
  • Familiarity with government safety, health, and environmental regulations.

Job Description:

A Facilities Coordinator is responsible for maintaining the stock and inventory of materials necessary to carry out maintenance work orders, receives materials and appliances from all vendors, maintains inventory, ensures compliance with all building safety and mechanical systems certifications and coordinate, and document all safety trainings and compliance for the maintenance technicians. The Facilities Coordinator will work closely and communicates with Director of Repairs and Maintenance, Maintenance Supervisors and Lead Technicians on daily basis.

Key Responsibilities:

Monitoring of the movement of the warehouses managed under the company daily

•    Coordinate inventory and prepare purchase order accordingly

•    Receive materials from Home Depot, Wilmar, Kelly Moore, etc. And check that the orders are complete

•    Ensure that tools are properly assigned to the technicians

•    Prepare weekly purchase orders for paint

•    Monitoring receipt of paints and ensure that the orders made are complete

•    Keep inventory control of used appliances

•    Monitoring incoming appliances and ensure that they are placed in the designated area

•    Place and update prices weekly of warehouse materials

•    Fill out the chemical inventory form. (monthly) 

•    Download the SDS of each chemical product handled by the staff. (monthly) 

•    Prepare the schedule of the afterhours program and notify the technicians by e-mail of their assignment 

•    Submit the work orders monthly to the different life and safety vendors to keep the corresponding certifications updated

•    File in BOX, charge in Yardi, update the life and safety Smartsheet, and communicate by e-mail each of the certifications we received from last month's inspections

•    Prepare the work orders for the jobs approved by the Property Management team. 

•    Assign  and follow up work orders

•    Follow up on delayed certifications that vendors sometimes do not communicate have been completed

•    In the case of receiving a NOV, coordinate inspections to update the certifications observed during the inspection

Qualification and requirements:

•    High school diploma or equivalent; Certificate in building maintenance technology or relevant field a plus

•    Must complete and keep current on all lead, asbestos, mold certifications and other classes as required

• years of clerical experience in facilities or maintenance

We are seeking a proactive and detail-oriented Administrative Officer to support our Australian Real Estate - Technical Services Department. This role provides vital administrative support to ensure smooth operations across a range of technical, property, and facilities management functions.

Key Responsibilities:

  • Process and lodge department invoices, including AFSS, plant item registration, strata, and project-related charges.
  • Manage rechargeable tasks such as overtime and chargeback invoices.
  • Coordinate monthly FM meetings, including agenda preparation and minute-taking.
  • Handle AFSS invoicing for SHP, including management fees and council-related charges.
  • Maintain department annual leave planning and register.

  • Manage the myBuildings system, providing support, training, onboarding, and coordination with PMs, FMs, Finance, and Real Trust.
  • Administer the CM3 system and support vendor onboarding in coordination with FMs and PMs.
  • Manage MRI vendor onboarding and handle related queries and disbursement issues.
  • Provide occasional support to the Tenant Help Desk Coordinator and assist with myBuildings tasks.
  • Maintain and update Site Specific Manuals (SSMs) quarterly with FMs and PMs.
  • Liaise with external providers (e.g., myBuildings, CM3, AESC) as needed.
  • Maintain up-to-date registers and contract lists for the team.
  • Organise department uniforms for all Facility Managers.

Requirements:

  • Proven experience in Australian real estate administration for facilities or technical services.
  • Experience with property systems like myBuildings, CM3, and MRI.
  • Excellent verbal and written English communication skills.
  • Strong attention to detail and organisational skills.
  • Ability to work independently and support a team environment.
