Primary Role:

To ensure all financial transactions are properly documented and compliant with BIR requirements, internal policies, and audit standards. This role will also support audit readiness and help maintain organized financial records.

1. Documentation and Record-Keeping

2. Maintain and organize all accounting source documents (receipts, invoices, official receipts, BIR forms, etc.) both in physical and digital formats.

3. Check completeness and accuracy of documentation attached to every transaction (e.g., purchase requests, sales invoices, billing statements).

4. Ensure proper archiving of documents for ease of retrieval during audits.

5. BIR Compliance Support

6. Monitor BIR filing deadlines (VAT, EWT, Income Tax, etc.) and ensure all required supporting documents are complete and filed on time.

7. Prepare, compile, and file BIR-required supporting schedules and summaries (e.g., 2307, 2316, alpha lists, etc.).

8. Assist in reconciliation of BIR reports with accounting records.

9. Audit Preparation and Support

10. Prepare and maintain audit-ready files for easy access during internal or external audits.

11. Address audit inquiries related to supporting documents and compliance.

12. Coordinate with external auditors and provide requested documentation promptly.

13. Internal Process Compliance

14. Implement a checklist system for transaction documentation.

15. Monitor adherence of other departments to documentation requirements (e.g., getting ORs for cash advances).

16. Help enforce internal controls related to document handling.

17. Reporting

18. Generate periodic reports on documentation issues, missing files, and areas for improvement.

19. Report recurring issues that might expose the company to compliance risks.

Ideal Qualifications:

• Bachelor's degree in Accounting, Finance, or related field
• At least 1–2 years of experience in accounting, preferably with BIR exposure
• Strong organizational skills and attention to detail
• Knowledge of BIR regulations and documentation requirements
• Proficiency in Microsoft Excel and document management systems

FOOD SAFETY AND REGULATORY COMPLIANCE:

• Assists with system documentation and implementation:
• Design, implement, and maintain robust food safety management systems, ensuring compliance with all statutory, regulatory, customer, and international standards (e.g., GMP, HACCP, FSSC, Halal).
• Develops and supports the establishment of comprehensive Food Safety Manuals, Work Instructions, and Standard Operating Procedures (SOPs) for both internal operations and external stakeholders.
• Conduct regular reviews and audits of systems and processes to identify areas for improvement in the operation

On Regulatory Compliance & Permitting:

• Manage and execute all necessary applications for regulatory compliance, including Food and Drug Administration (FDA), Certificates of Product Registration (CPRs),

On Audit Management:

• Plan and conduct internal audits across all relevant areas
• Lead and participate in regulatory, third-party, and customer audits, ensuring the timely execution and completion of all subsequent corrective actions and reports.
• Conduct regular trade checks to verify product handling aligns with specified standards at the end-user level.

On Training & Development:

• Design, facilitate, and deliver tailored training programs on Food Safety, Quality, and other relevant topics for both internal staff and external stakeholders. These programs ensure all parties remain current with industry standards, regulations, and company policies.

On Document Management:

• Responsible for the efficient, timely, and accurate preparation and management of all critical food safety and regulatory documentation.

Qualifications

Education:

• Candidates must be a Bachelor degree holder of BS Food Science/ Technology, Biology, Chemistry, Chemical Engineer or any science-related field.

Experience:

• Preferably with at least three (3) years of working experience in Quality Assurance in the Food Manufacturing Industry or any related discipline.
• Knowledge on FDA Applications - LTO and CPR - an advantage

Other Requirements:

• A strong background on Food Safety Systems: GMP, HACCP, FSSC is required.
• Thorough understanding of environmental regulatory requirements and their interpretations, along with strong knowledge of safety and health programs.

Responsibilities and Duties

● Manual Testing

• Execute pre-defined test cases across various functionalities and features on web/mobile apps
• Check UI, responsiveness, and behavior based on both website standards and the client's requirements

● Bug Reporting

• Report bugs with clear steps to reproduce and descriptions, including screenshots or recordings
