Qualifications:
Education : Bachelor's Degree in Education, Business Administration, Management, or Related Field; (Montessori Certification is an advantage)
Experience : At least two to three (2-3) years of school administration experience, preferably in a Montessori or progressive education environment.
Other Skills :
- Experience in compliance, records management, and financial administration.
- Process Management and improvement.
- Strong organizational, record-keeping skills, and attention to detail.
- Ability to handle multiple tasks and meet deadlines.
Job Purpose:
The Montessori School Administrator oversees the daily operations of the school, ensuring the smooth functioning of administrative, financial, and compliance functions while upholding the Montessori philosophy and standards. This role bridges academic leadership with operational efficiency, fostering a safe, nurturing, and organized environment for students, parents, and staff.
Job Description:
Oversee and ensure smooth daily school operations by implementing and monitoring operational SOPs for classrooms, facilities, safety, and security, while upholding Montessori principles and school policies.
Maintain the office in an orderly and efficient manner in terms of documents, records, and positive customer service and to maintain confidentiality of all communications.
Act as the communication hub by relaying day-to-day information (calls, messages, visitor updates) to the Executive Director, faculty, and staff, and by coordinating with teachers regarding Open Houses, School Tours, Child/Parent Visits and concerns.
Act as payment liaison with the Accounting Department (ongoing recordkeeping of checks sent to the Head office, direct debit payments, tuition payments) and distribute petty cash.
Assist in budget preparation, manage operational expenses within approved limits, and maintain accurate financial records for audit and reporting purposes.
Order and coordinate the distribution of all supplies (office & school).
Support the teaching staff as needed and actively participate in faculty meetings to ensure alignment on school activities and priorities.
Organize and support parent orientations, school events, and community activities.
Oversee staff administration by coordinating recruitment, onboarding, and related requirements, while also monitoring attendance, leave records, performance documentation, and conducting regular performance evaluations of personnel.
Arrange professional development and Montessori training opportunities for teachers and staff.
Work with the Directress to ensure classroom schedules, extra-curricular programs, and events are well-coordinated.
Ensure compliance with government requirements by planning and implementing, and by coordinating with and assisting government agency officers during school visits and inspections.
Oversee school accreditation and compliance by proofreading and editing required reports, maintaining documentation for accreditation processes and quality audits, and ensuring timely preparation and submission of all compliance reports.
Follow all School policies and procedures as stated in the Employee Handbook and the School's Rules and Regulations, as presently existing or as may hereafter be amended.
Follow all standards in accordance with the American Montessori Society, DepEd, and other government agencies.
Submit weekly and monthly reports in accordance with the company's minimum reporting standard—report content to the Directress.
Perform additional duties as assigned by the executive team to support business operations.
