About the Role
We are seeking an experienced and detail-oriented Document Control Lead to manage and oversee document control operations across multiple EPC projects. This role is responsible for developing document control standards, leading a team of document controllers, and ensuring accurate and timely flow of project documentation in compliance with international standards. The ideal candidate will have strong leadership skills, deep knowledge of document management systems, and experience working with global clients in fast-paced engineering and construction environments.
Responsibilities
Document Control Management:
- Develop and maintain document control procedures, workflows, and standards in accordance with project and client requirements.
- Oversee the receipt, logging, tracking, and issuance of documents such as drawings, specifications, RFIs, vendor data, contracts, and transmittals.
- Manage the timely distribution of documents to internal teams, clients, subcontractors, and vendors.
- Ensure documents are properly numbered, versioned, and stored in the designated document management system (DMS).
- Monitor document submission schedules and ensure adherence to deadlines.
Team Leadership:
- Lead, train, and mentor a team of document controllers across different projects.
- Assign responsibilities and monitor performance of document control personnel.
- Conduct regular quality checks and audits on controlled documents for consistency and compliance.
System and Tools Management:
- Administer electronic document management systems
- Troubleshoot system issues and support end-users in the use of DMS platforms.
- Collaborate with IT or vendors to optimize document control tools and workflows.
Stakeholder Coordination:
- Act as the main point of contact for all document control matters with clients, contractors, and consultants.
- Coordinate with Engineering, Procurement, Construction, and QA/QC departments to ensure alignment of document flow with project milestones.
- Support project close-out by ensuring turnover documentation packages are complete and properly archived.
Reporting &Compliance:
- Prepare periodic document control status reports, KPIs, and metrics for management and clients.
- Support internal and external audits by maintaining proper documentation records and retrieval systems.
- Ensure compliance with data privacy, information security, and document retention policies.
Competencies and Qualifications
Must-Have
- 7 years of experience in document control roles within EPC Projects.
- At least 2 years in a supervisory position.
- Strong knowledge of international standards for document control.
- Experience working with clients in the US, Canada, Australia, or Europe is highly desirable.
- Proficiency in document control systems such as Aconex, SharePoint, Procore, or equivalent.
- Excellent written and verbal English communication skills.
- Highly organized with a strong attention to detail and accuracy.
- Ability to work independently and manage teams remotely.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook, Teams).
Nice-to-Have

- Is responsible, within its team, of the deployment and execution of the documentation management process,
- Creates and updates Documentation Management Plans (DMP) in line with the customer contractual requirements and shares it with project internal stakeholders.
- Define and Deploy the Documentation numbering system
- Define and Deploy the Project Working documents single repository (in Teams, SharePoint, etc.)
- Manages the documentation management Internal & External requirements.
- Follows and makes sure rules defined in the DMP are understood and applied by every team member
- Creates the formatting of official Alstom templates according to contractual requirements & ensures that stakeholders use them
- Collects all documents (inputs) from the Project and place them in Project DML (Documentation Master List)
- Coordinates all the DMLs to obtain the complete version of the project (a single final version) if we have several product line DMLs.
- Ensures documentation is properly validated before any submission to Customer
- Is responsible of the external diffusion of the Documentation and follows that the contractual documents is correctly delivered with the Contractual Documentation List (CDL).
- Adapts and implements the documentation structure in accordance with standards.
- Updates and uses documentation Internal and External distribution List
- Manages the documentation management activities of the Project and supports and challenges Sub-system levels (PM2020 organization)
- Manages, Setup and deploys EDMS with tools support team & train new users and manage access right to EDMS.
- Performs the role of EDMS Key User (if no Site EDMS key user) & First level support to EDMS users
- Participates to configuration & change reviews to guarantee integration in all activities of the team members that are involved with documentation.
- Defines & analyses documentation reporting, indicators to be provided by Documentation Controller and report analysis to its department head, PM& Core Team Manager, team members and Customer (when required).
- Monitors the document milestones associated with payment milestones and alerts Project/Program/Bid Manager in case of risks (delays) and prepare related reporting
