Project Objective:
Provide support to the Project Management Office Department's Document Section by handling records management, maintaining the records library, and performing various project records management tasks.
Scope of Work:
- Monitoring the due execution of final and approved documents across all project stages - Concept, Planning & Development, Procurement, Execution, and Financial Closeout. This includes document routing, distribution, sorting, scanning, stamping, filing, and retrieval.
- Maintaining a document log for incoming and outgoing transmittals. All final documents shall be logged, sorted, groomed, punched, tagged, organized, and filed based on the PLC checklist. Electronic files shall be converted from PDF to OCR format and uploaded to RIMS and SharePoint.
- Ensuring all documents are complete, approved, acceptable, and submitted within the agreed schedule.
- Maintaining a repository of project documentation and information in the records library
- Identifying, maintaining, securing, and protecting both hard copies and electronic copies of project folders.
- Delivering compliance reports and document status updates as may be necessary to account for the complete services.
- Coordinating with the project team members to ensure the completeness of project folders.
- Following up on overdue and pending documents with Reviewers to ensure adherence to the agreed Turnaround Time (TAT).
- Performing other related functions inherent to team operations.
- Attending kick-off meetings and weekly coordination meetings with the Project Team while delivering updates on document status.
- Escalating critical document issues to their respective Team Lead Coordinators.

- A bachelor's graduate of any degree.
