Primary Role:
To ensure all financial transactions are properly documented and compliant with BIR requirements, internal policies, and audit standards. This role will also support audit readiness and help maintain organized financial records.
Key Responsibilities:
1. Documentation and Record-Keeping
- Maintain and organize all accounting source documents (receipts, invoices, official receipts, BIR forms, etc.) both in physical and digital formats.
- Check completeness and accuracy of documentation attached to every transaction (e.g., purchase requests, sales invoices, billing statements).
- Ensure proper archiving of documents for ease of retrieval during audits.
2. BIR Compliance Support
- Monitor BIR filing deadlines (VAT, EWT, Income Tax, etc.) and ensure all required supporting documents are complete and filed on time.
- Prepare, compile, and file BIR-required supporting schedules and summaries (e.g., 2307, 2316, alpha lists, etc.).
- Assist in reconciliation of BIR reports with accounting records.
3. Audit Preparation and Support
- Prepare and maintain audit-ready files for easy access during internal or external audits.
- Address audit inquiries related to supporting documents and compliance.
- Coordinate with external auditors and provide requested documentation promptly.
4. Internal Process Compliance
- Implement a checklist system for transaction documentation.
- Monitor adherence of other departments to documentation requirements (e.g., getting ORs for cash advances).
- Help enforce internal controls related to document handling.
5. Reporting
- Generate periodic reports on documentation issues, missing files, and areas for improvement.
- Report recurring issues that might expose the company to compliance risks.
Ideal Qualifications:
- Bachelor's degree in Accounting, Finance, or related field
- At least 1–2 years experience in accounting, preferably with BIR exposure
- Strong organizational skills and attention to detail
- Knowledge of BIR regulations and documentation requirements
- Proficiency in Microsoft Excel and document management systems
