Job Description
The Quality Systems and Processes Specialist spearheads programs and initiatives in ensuring that the implementation of the Company's systems and processes are regularly monitored, analyzed and improved for its efficient and effective operations. Job Description
Responsible for extracting and organizing operational data from Retail Concessionaire & TGM stores, and from TMM and External operations in order to have complete and accurate system transactions in SAP.
Ensures accurate and timely inputting in SAP for Retail and TGM product movements and/ or actions. Ensures that every SLOC (system location includes Retail stores, TGM stores and TMM) would have accurate SAP transactions.
Below KPIs are applicable to Retail stores, TGM stores and TMM operations
- 100% Accurate SAP Transactions
- 100% Attainment of SAP Transactions
- 98% Timeliness of SAP Transactions
Duties And Responsibilities
Retail system transactions
Performs in SAP the receiving of Purchase Orders (POs)
- Performs in SAP the Sales Journal (SJ) or dispatches from each store
- Performs in SAP the Stock Transport Order (STO) from/ to TMM, External Warehouses, Tollers, and Retail stores
Stores includes but not limited to the Robinsons, WeShop, Puregold, Waltermart, Merry Mart, Ayagold, Every Minute
TGM system transactions
Performs in SAP the STO from/ to TGM-owned stores. Extracts data from the Prepared Dispatch Report (PDR) as the basis for the system transactions.
- Performs in SAP the Transformation in all TGM-owned stores. Extracts data from the Transformation Report as the basis for the system transactions.
- Performs in SAP the SLOC to SCLO between TGM stores. Extracts data from the Transfer Adjustment file as the basis for the system transactions.
- Performs in SAP the free samples given by TGM stores. Uses the Transfer Adjustment file as well as the basis for this.
TGM-owned stores includes but not limited to TGM Libis, Visayas, Paranaque, Las Pinas, Batangas.
TMM system transactions
Performs in SAP the items condemned in TMM. Ensures that the Condemnation list and report are the ones approved by an Executive, at least.
- Performs in SAP the drip losses incurred in all TGM stores. Basis would be the PDR as well, and the signed Pilmico Meats Dispatch Report (MDR).
- Performs in SAP the drip losses incurred in all Retail stores. Basis would be the PDR.
- Performs in SAP the donations and free samples given by TMM. Ensures that the Donation and Free samples list are the ones approved by a Manager, at least.
- Prepares and presents for the Weekly Attainment report to the immediate Team Leader and flag variances or risk
- Immediately escalates concerns in not achieving system transactions (e.g., lacking operational reports, item code concerns, PO-PR concerns).
- Collaborates with the source departments of the operational reports/ data needed in order to transact in SAP.
- Collaborates with the stakeholders for any reconciliations needed with the transactions made in SAP.
- Performs SAP transactions related to Transport Management. Prepares SOTC, STC, TM and FSD in SAP. Consequently, validates and processes billings from Trucking Partners.
Qualifications
Education:
- Graduate of any 4 year course, preferably in the areas of Accounting, Supply Chain Management or any related business course
Experience
- At least 1 year experience in related field
- Experience using SAP or other ERP is a great advantage
