Role Overview
We are seeking a detail-oriented and proactive professional to play a key role in managing
tender proposals and contract processes
that drive the success of our projects. The primary purpose of this role is to ensure that
major and minor tender submissions
are delivered with accuracy, timeliness, and efficiency while aligning with our company's growth objectives
Responsibilities
Primary Purpose of the role: Ensuring major and minor tender proposals are managed effectively and efficiently.
- Tender Processes
Accurate and timely quotes. Current and accurate tender database.
Business growth in line with company objectives.
Time Management
Generate and manage tender processes and procedure.
Generate quotes by reviewing drawing and tender documents, including materials and labour costs through consultation with external suppliers and RMR project team, understanding client objectives, being aware of industry trends and opportunities.
Assist Project Managers, Project Supervisors, and other junior staff with quoting processes and review.
Prepare handover documentation upon contract award to Manufacturing team.
Coordinates with the client on all changes in scope, questions or clarifications regarding the work, during the bidding process.
- Managing Contracts
Accurate and sound review of contracts.
Professional contract negotiations.
Be the central contact for all contract queries.
- General
Set the example in regards safe working and reporting all safety concerns or issues.
Work closely with Manufacturing Manager, Project Managers and employees on project plan and budget of projects.
Maintain strong working relationships with current and potential clients.
Actively attend and participate in staff meetings as required
Promoting, managing & enforcing golden rules (i.e. Daily timesheets, uniforms clean, neat, tidy & shirts tucked in at all times, hearing protections worn at all times in the workshop, on-site where applicable, PPE worn where applicable, 15-min morning break & 30-min lunch breaks, clean work areas, daily clean-ups, etc.)
Adherence to and use of established business processes.
Constructively work with other parts of the business to deliver strategic plans and to meet our on-going business performance and quality objectives.
Promoting environmental sustainability.
Assume duties of Senior Estimator in absentia.
Be an active participant in the application of the "United Front" mantra.
All other duties as required.
Coordinate and participate in post project reviews.
Requirements
Mechanical Engineering degree or equivalent experience.
Minimum 3 years estimating experience.
Experience in Food & Beverage and Construction Industry.

About the Role
We are seeking an experienced Estimator to work directly with our client in Australia. The Estimator is responsible for evaluating project requirements, preparing detailed cost proposals, and supporting the Sales Team in acquiring new projects. This role also involves ensuring data accuracy, maintaining item codes in ERP/CRM systems, and providing technical support when required.
Key Responsibilities
- Project Evaluation: Review drawings and specifications to determine project scope, budget, and resources.

Education, Experience, and Skills

The Qualifications We Seek

- 2-5 years' experience in HVAC estimating, project engineering, or mechanical services.

What you will do:
Technical Report/Document Preparation and Review
1.) Study the Plans, Specifications, Contract and the Bill of Quantities
2.) Prepares all documents to be submitted to the Client as stated in the contract including regular and special reports, billings, cost proposals, submittals, etc.
3.) Prepares the rehash of the Bill of Quantities to be used as the main guide and reference for project implementation
Cost/Budget Management
4.) Prepare cost/budget reports and analysis as required by management and for project progress evaluation and assessment purposes
5.) Manages cost/price estimation;
6.) Manages all the billings of all subcontractors
7.) Submits and make good request in proposals;
8.) Provides necessary recommendations;
Document Management
9.) Prepares all communications with the Client, Construction Managers or Consultants as needed
10.)Ensures that all information are promptly routed or sent to the concerned department, properly filed or stored and appropriately managed in accordance with the ISO standards
11.)Prepares all documents required in the management of the main contract and all subcontracts

This role is ideal for a technically strong, detail-oriented professional with proven experience in mechanical design and estimation for Australian projects. You’ll work directly with the Director on technical matters and collaborate closely with the Office Manager (Project Admin/Coordinator) for day-to-day inquiries, client communications, and project administration. Responsibilities: Estimating & Design ● Prepare accurate estimations, designs, and take-offs for HVAC, hydronic heating, and airconditioning systems. ● Perform pipework design, flow calculations, and thermal load assessments (heat loss/gain,pump and heat pump sizing). ● Build and maintain estimating templates, cost libraries, and take-off lists. ● Use H2X for mechanical design and calculations. ● Operate within SimPRO for job costing, quoting, and project workflows. Project Support ● Draft and review project documentation and mechanical specifications. ● Assist with tenders, proposals. ● Track and compare estimates against actual project outcomes to improve accuracy. ● Introduce value engineering and alternative design/materials for cost and performance optimisation. Supplier & Subcontractor Coordination ● Maintain communication with suppliers for updated pricing and availability. Compliance & Standards ● Ensure all designs and estimates comply with relevant Australian codes and standards (particularly NSW, ACT, VIC). ● Collaborate with internal teams to ensure feasibility, compliance, and best-practice design solutions. Requirements: ● Mechanical engineering background, or strong hands-on estimating experience in HVAC / hydronic heating / heat pump / geothermal systems. ● Minimum 2 years of estimating/design experience in HVAC, hydronic, or mechanical engineering. ● Strong knowledge of hydronic heating, air conditioning systems, and pipework design. ● Proficiency with H2X and SimPRO (or proven ability to learn quickly). ● Demonstrated experience working on Australian mechanical projects ● Excellent English communication skills (verbal & written) – able to interact confidently with clients, builders, and the internal team. ● Highly organized, detail-oriented, and able to manage multiple estimates and deadlines. ● Comfortable working remotely with direct reporting lines to senior management. Nice to Have ● Background in mechanical engineering or trade qualification in HVAC. ● Prior experience in hydronic systems specifically. ● Strong supplier and subcontractor networks in Australia.
