Working schedule: Mon to Fri, 6am to 3pm Manila Time

The Bookkeeper is an assistant data-entry role, responsible for assisting the Accounts Team in the functions of entering and recording bills, invoices and payments, processing accounts payables, and other general duties. The role reports directly to the Accounting Manager and Accountant.
ResponsibilitiesAccounts Payable: Accurately process and complete data entry for supplier invoices, bills, paid invoices, and employee expense claims. Prepare weekly batch payments report accurately under supervise.
Accounts Receivable: Accurately raise and issue invoices, process online or credit card payments, and issue returns and credit authorisations for faulty inventory. Monitoring the receive of the payments and chasing for overdue payment under supervise.
Bank account and credit card reconciliation: Accurately reconcile the incoming receipts and outgoing payment transactions with customer invoices, supplier invoices and bills on time.
General bookkeeping and data entry: Reconcile accounts in the general ledger and ensure the accuracy of all recorded transaction data in Xero; Investigate and remediate discrepancies.
Inbox management and communication: provide accurate and timely respond to the emails in the account inbox and the inquires raise from suppliers or other departments under supervise.
Attention to detail: For each of the core assistant functions above, apply a skilful, efficient and accurate method to complete the volume of work assigned.
Ad-hoc duties: Ad-hoc duties incidental to the core functions and as requested by management, including supporting the management team (and other teams) with data entry, reporting and analysis of data.
Reporting: Assist with the preparation of financial reports, which may include Sales Reports, Cash Flow and Expenditure Reports, Profit and Loss Statements & Trial Balances.
Systems and process optimisation: Contribute to the implementation, review and improvement of the use of systems and technology within Lioness to promote productivity and efficiency.
Stakeholder relationships: Build and maintain strong relationships with both external and internal stakeholders to support efficient transactions and effective dispute resolution, i.e. dealing with payments, credits, refunds and disputes, and otherwise to promote teamwork.
General office and teamwork: Work both independently and collaboratively between teams to apply a positive approach to problem solve business issues as they arise.

About the Role:
The Finance and Medical Records Assistant is a remote, finance team role responsible for receiving, validating, fulfilling, and tracking all medical records requests from families/guardians, our external billing company, payers, attorneys/courts, and other authorized agencies. This position ensures every disclosure is supported by a valid legal authorization and complies with applicable privacy regulations (e.g., HIPAA and, where applicable, 42 CFR Part 2). When records requests are current and within service levels, the Assistant supports finance operations through crosstrained tasks such as paidtosubscriber correspondence, invoicing, and other department needs.
Key Responsibilities
Release of Information (ROI) & Records Fulfillment – Primary
- Intake & Triage: Receive and log all incoming records requests (email, patient portal, secure fax, mail/subpoena). Acknowledge receipt using approved email templates.
- Authorization Validation: Verify identity/authority of requestor; confirm scope, purpose, and expiration of authorization; check "minimum necessary" alignment; confirm any special protections (e.g., SUD information under 42 CFR Part 2, psychotherapy notes, HIV/STD results, minor records) and escalate when separate or more restrictive authorization is required.
- Clinical & Psych Provider Clearance (New): Before any release, route the request and proposed record set to the treating clinician and the psychiatric/psych prescribing provider (as applicable) for review and written approval to confirm whether any content must be withheld or redacted (e.g., psychotherapy notes, thirdparty references, safety planning details, sensitive collateral information). Document approvals/holds in the ROI log and retain the dated confirmation. If a provider indicates clinical risk or contraindication to release, place the request on hold and escalate per policy to Privacy/Compliance and the Lead Accounting Assistant.
- Legal Request Handling: Review subpoenas, court orders, and payer audits; route complex/legal matters to the Privacy/Compliance contact and Lead Accounting Assistant for guidance/approval.
- Record Preparation: Retrieve designated record sets from the EHR/document repository; apply naming conventions; paginate and assemble PDFs; redact restricted content as directed by providers and policy; use secure encryption for outbound delivery.
- Fulfillment & Documentation: Send records via approved secure methods (encrypted email, secure portal, or secure fax). Record date/time, contents, recipient, method, and authorizing document; maintain an auditable chain of custody.
- Timeliness & Service Levels: Meet internal SLAs and applicable federal/state timeframes. Proactively communicate status and any missing elements to requestors.
- Quality & Audits: Perform selfchecks and participate in periodic ROI audits; remediate findings promptly.
Finance CrossTraining & Support – Secondary (as bandwidth allows)
- PaidtoSubscriber Correspondence: Monitor EOBs where payment was issued to the subscriber; send templated letters to families/guardians, track responses, and log collections followup.
- Invoicing & Statements: Prepare and send statements/invoices (emailfirst workflow); reconcile undeliverable messages; update contact preferences and address corrections.

- Perform daily, weekly, and monthly reconciliations across financial systems and external providers.
- Investigate and resolve discrepancies in transactions and balances to ensure data integrity.
- Collaborate with the Finance, Operations, and Compliance teams on provider onboarding and financial-related concerns.
- Recommend and implement process improvements and automation to enhance efficiency.
- Support audits, compliance reviews, and risk management initiatives.
- Ensure that company funds are accurately tracked, reconciled, and protected.
Requirements
- Bachelor's degree in
Finance, Economics, Statistics, Data Science, Accounting, or related field
. - Proven experience as a
Financial Data Analyst, Reconciliation Analyst, or similar role
in finance, fintech, crypto, or iGaming. - Proficiency in
Python
, and BI tools such as
Looker, Tableau, or Power BI
. - Strong understanding of
financial principles, reconciliations, and variance analysis
. - Excellent
analytical, problem-solving, and attention-to-detail
skills. - Strong
communication and interpersonal skills
, with the ability to explain financial and technical data to non-technical stakeholders. - Ability to
work under pressure
and manage multiple priorities in a fast-paced environment. - Business proficiency in
written and spoken English
. - Flexible work schedule to support global operations.
- Familiarity with
NetSuite or similar ERP systems
is a plus. - Experience with
automation initiatives
(scripts, workflows, integrations) is an advantage.
